What to send when you ask for pricing
The quickest way to get an accurate quote is to give us the key facts up front. If you are unsure about any of them, send what you do know and we will work it through with you.
- Site location and suburb or town, for example Gqeberha, Uitenhage, Despatch, Jeffreys Bay, Graaff-Reinet or Port Alfred
- Equipment type, such as cold room, chiller, condensing unit, split system or temperature monitoring setup
- Approximate size, capacity or room dimensions in metres
- Fault details, recurring issues, or the reason for the upgrade
- Photos of nameplates, controllers, pipework, ice build-up or visible leaks
- Your preferred timing, especially if the site runs over weekends or during load-shedding windows
If the issue is urgent, say so in the first line. A unit that is tripping, losing temperature, or icing up needs a faster response than a planned service, and it helps us assign the right technician from the start.
How we price maintenance, repairs and retrofits
Different jobs need different pricing methods. Planned maintenance is often quoted as a once-off visit or a service schedule. Repairs are usually priced after we have assessed the fault. Retrofit work, including low-GWP gas conversions and energy-saving chiller updates, may need a site visit and a technical review before we can confirm parts and labour.
For larger sites we may ask for the operating hours, product load, door opening frequency and existing controls. That helps us estimate the effect of the work on running costs, especially where coastal humidity, warm rooms, or older insulation are making the system work harder.
- Planned Maintenance for routine inspections and cleaning
- Emergency Breakdowns for urgent call-outs
- Cold Room Repairs for temperature loss, icing or fan faults
- Chiller Servicing and Control Upgrades for better performance
- Energy Audits where electricity use has climbed and you need a plan
Our quote process from first message to site visit
Once your request comes in, Yolanda Jacobs in client care logs the details and routes it to the right person. For straightforward work we can often give a quick budget range. For more detailed jobs, Siyabonga Mthembu or Ruan Smit may need to inspect the site before the final price is issued.
Here is the usual process:
- You send your details by email to hello@nvirocool.co.za.
- We review the equipment, site conditions and urgency.
- If needed, we arrange an inspection in Newton Park or at your premises anywhere in the Eastern Cape.
- You receive a clear quote with the scope of work, parts allowed for and any exclusions.
- Once approved, we book the job and confirm access requirements.
If the system is out of service, let us know whether stock, dairy, hospitality or office operations are affected. That helps us plan around your production hours and avoid unnecessary downtime.
What details matter for low-GWP conversions and energy-saving retrofits
For conversion work, the quote must reflect the existing refrigerant, oil type, pipe condition, controls and the age of the plant. A gas change is not just a bottle swap. It may need leak detection, filter work, labelling updates, and a review of the condenser or evaporator condition before the new refrigerant goes in.
For chiller retrofits, Nokulunga Dlamini often checks the load profile, power draw, and running pattern before we set a scope. If the unit runs through load-shedding on backup supply, that changes the picture as well. We want to size the work properly so you are not paying for parts you do not need.
- Low-GWP gas conversions
- Leak Detection and remedial work
- Energy Audits with practical saving steps
- Temperature Monitoring for sensitive stock or process areas
- Control upgrades that improve start-stop management
Emergency call-outs and planned work
If your cold room is warming up or a chiller has stopped, mark the request as urgent. Ayabulela Ndlovu will help direct the call and check which technician is best placed to respond. We handle emergency breakdowns across Gqeberha, Despatch, Uitenhage, Jeffreys Bay, Port Alfred and Graaff-Reinet, subject to travel time and access.
For planned work, such as coil cleaning or a maintenance schedule, giving us a few days lead time helps us line up the right parts and test equipment. It also allows us to work around municipal by-laws, site safety rules and customer receiving hours where needed. A small delay in booking now can prevent a bigger fault later, especially on older units.
Send your request to Nvirocool

Include your contact name, site address, phone number and a short description of the issue. If you have pictures or a service history, add those too. The more practical detail you send, the faster we can quote properly and avoid back-and-forth later.
